Program Retention Policy - Undergraduate Programs
Objective/s
The objective of this policy is to establish rules, guidelines, and procedures for the implementation of the Program Retention Policy for all students of the university.
Scope
This policy is applicable to all students who have not completed their program of study at the time of evaluation. Students who are inactive or have taken leave of absence will not be covered as long as their last enrollment is beyond the current academic year.
Note that students who shifted or otherwise changed their program of study shall initially have an Academic Good Standing for their first term in the new program and shall follow the prevailing Program Retention Policy of the new program. Terms prior to their shifting or change of program shall not be part of the evaluation process.
Exemptions
- Students who are candidates for graduation are exempted from this policy.
- Students in residency only are exempted from this policy.
- 1st year, 1st term courses of new freshmen students will not form part of the evaluation process.
Policy
To ensure that students meet the program educational objectives of the program, the university shall implement program specific retention rules that are evaluated at regular intervals (at the end of every term) during the lifetime of the program. The students’ academic standing shall be update based on their respective retention criteria and shall be the basis of re-admission for subsequent terms.
New freshmen students, those who shifted from a prior program, or has applied for another degree shall have an initial academic standing of Academic Good Standing and shall be updated based on their performance and the set program retention criteria of their chosen program of study.
The following program retention policies shall take effect starting 1st Term Academic Year 2026-2027 and shall remain in effect until superseded.
Undergraduate Program Retention Policy
Board-regulated Programs and Programs with Certification Exams
Students who are enrolled in board-regulated programs shall be evaluated based on the following criteria indicated below in that order.
- Program specific critical courses as applicable
- Term Weighted Average performance
- Number of failed units and/or course for a given term or academic year.
3rd Time Failure Conditions
Students who received a failing mark for the 3rd time in any of the courses indicated below shall be placed in Final Probation regardless of their academic standing.
- Any professional course
- The same math or science course
4th Time Failure Conditions
Students who receive a failing mark for the 4th time in any of the courses indicated below shall be dismissed from the program and shall not be readmitted in any board-regulated program.
- Any professional course
- The same math or science course
Term Weighted Average Conditions
The students academic standing shall be based on their current academic standing and term weighted average using the matrix below.

Students in Final Probation shall only be allowed to take a maximum of 12-units course-load to focus and improve their performance.
Non-Licensure Program
Students who are enrolled in non-licensure programs shall be evaluated based solely on their term weighted average and current standing. The table below identifies the student’s next academic standing.

Students who obtained a term weighted average of 3.51-5.00 four (4) times over, shall be dismissed from the program and shall not be readmitted in any program within the same discipline.
Program Dismissal Option
Students who received an academic standing of Program Dismissal have the following options to continue their studies as follows.
- Students are encouraged to shift disciplines or other non-licensure programs (as applicable) with similar discipline. Choosing this option grants the student reprieve from past terms’ performance and their academic standing resets back to Good Standing
- Student may also opt to apply for Transfer Credentials to continue their studies in a different university.
Procedures
- At the end-of-every term, after the submission of final grade reports have been submitted by the faculty, the system shall calculate all students’ academic standing.
- The Student Program Retention Policy Report and Pass-Fail Statistics shall be generated and forwarded to School Dean.
- Academic Advisors shall confer with the student, their parents, and/or guardian on the implication of the academic standing of the student.
Responsibilities
The Student
- Shall be responsible for completing their chosen program of study by striving to complete and/or exceed performance expectation of each course that they are enrolled in.
- Shall be responsible in providing feedback about their professors by responding to the Faculty Evaluation Survey (FES), reporting to their deans or higher officials of incidents that may jeopardize their on-time completion of their respective program.
The Professor
- Shall be responsible for activities related in the conduct of instructional delivery, knowledge or skills assessment, and most of all guiding learners to support the goal of completing their program of study.
- Shall be responsible in reporting students who may be exhibiting behavioral concerns, violating school policies, or demonstrating behaviors that may require additional support.
Compliance
This policy is system enforced and any exceptions are subject for appeal and review of the EVP Academic Affairs.
