Request for Transfer Credentials (Honorable Dismissal)

Transfer Credentials are the official academic documents issued by the university and submitted when applying for admission to another college or university. These credentials serve as authoritative evidence of the student’s prior academic record and are used by the receiving institution to evaluate eligibility for admission and determine the transferability of earned credits.

They typically include:

  • Official Transcript of Records – a certified list of courses completed, grades obtained, and credits earned.
  • Certificates or Diplomas – proof of program completion, if applicable.
  • Supplementary Documentation – such as course descriptions or syllabi, when required for credit evaluation.

Processing a student’s academic records for transfer to another school is a terminal process for the students’ account. Once processed, the following actions are also executed.

  1. The students’ academic records are tagged as transferred-out and is remove from any academic processes
  2. All accounts of the student are disabled and any associated licenses revoked including but not limited to the following
    1. Official Email, Portal, and Storage
    2. LMS, Library, and learning supplement access (Coursera, LinkedIn, Grammarly, etc.)

Processing Time

The processing of transfer credentials can take anywhere from one (1) week to over a month. The process depends on how fast the receiving school communicates with the Registrar’s Office to complete the request.

Eligibility

Any undergraduate or graduate student who wish to transfer to another school are eligible to apply for the service. Note that the following requirements must be completed prior to application as necessary.

  1. All incomplete courses must be completed prior to application. Any pending incomplete course shall be automatically completed with a failing mark if not accomplished by the student.
  2. All obligations from the following offices must be settled
    1. Returning of books to the Library. Books not returned once application starts shall be charged to your account
    2. Vacating of storage lockers. Contents left in the locker once the students completed the transfer shall be disposed of or donated.
    3. Obligations with the Prefect of Discipline must be settled.
  3. If the student is currently enrolled, the student must cancel their enrollment before applying for transfer credentials

Anytime as long as they are eligible.

How to apply for the service?

The requestor applying for transfer credentials must follow the steps below.

  1. Fill-out the request for transfer credential (honorable dismissal) form.
  2. Submit the accomplished form to the Registrar’s Office or email the copy to the following.
    1. For Intramuros Programs: maangulo@mapua.edu.ph
    2. For Makati Programs: jlayco@mapua.edu.ph
  3. The Registrar’s Office will notify you for any pending course completions and will charge your account with the appropriate processing fee.
  4. Settle the processing fees at the Treasurer’s Office including any arrears
  5. After settling all obligation at the Treasurer’s Office, the Registrar’s Office will release the transfer credential form which you need to provide to the Registrar’s Office of the school you will be transferring to. The documents shall be mailed to the new school once the Registrar’s Office receives the confirmation slip.
